Send invites and reminders (* private-server Cxoice only)

Invites and reminders using Cxoice are only available on Private Server installations for agencies or larger clients due to the need to set up anti-spam security settings (DKIM, SPS etc) and to prevent blacklisting by email providers like Gmail or Outlook, and using your company’s domain name to ensure invites are seen as genuine.

 

For more general Cxoice users, we recommend using one of a robust mass mailing application with a good reputation, such as Mailchimp or an internal newsletter mailing system so that invites can be sent out using the correct domain-name for your company.

 

For survey emails, response rates can easily be below 0.1% for unsolicited emails. That would mean you would need 100,000 contacts just to get 100 completes. Naturally, email businesses will blacklist such mailings as spam and you may run into issues with data protection authorities. Consequently you should avoid sending unsolicited emails to invite individuals to take part in surveys.

 

However, if you have built up a good contact database of customers, or opted-in subscribers to a newsletter, response rates will be higher, although 5% response is still considered high for a survey invite (2,000 contacts to get 100 completes).

 

To maximise response we recommend sending invite emails from your company’s own domain, to contacts who have opted-in to receive information, and preferably using the same mailing tools that you would use to send out newsletters or company information to these contacts.

 

Test contact lines to see what generates the best response, and restrict the survey to purely research needs as this builds trust, and makes it easier to ask people to take part a second time. Be open about the research objective and the need for help, and include options to unsubscribe or opt-out.

 

If you are offering a competition or draw as an incentive make sure it abides by the law in the countries and states for the individuals you will be contacting. For instance, in France, you may need to register to be legal able to use a draw as an incentive.

 

For some groups, such as B2B surveys, telephone interviewing may be more productive than sending out email invites so you might consider a mixed approach to your project.
